Define support scope before handover
When discussing support with KEEYAK, confirm responsibility for each part of the vehicle: chassis, body, installed equipment and locally added systems. Record the warranty terms and service contact for each, with the relevant documents. One provider may not be responsible for the whole vehicle.
Identify which inspections, consumables, software, calibrated tools or specialist qualifications are needed to keep the vehicle available. This helps the operator plan maintenance before a fault or scheduled interval removes the vehicle from service.

Report issues with operating context
Identify the vehicle and its configuration, with operating hours or distance. Describe the site conditions and sequence of events leading to the fault, then include symptoms, warning codes, photographs and measurements. State whether the vehicle is stopped, restricted or still operating.
This information helps the service team determine whether the fault concerns the equipment itself, its setup or maintenance, the environment, or a connection between systems. Do not bypass a safety function or continue operation outside the approved instructions while waiting for a diagnosis.
Document the resolution
Record the diagnosis and agreed repair. Identify any replacement part, the person responsible and whether the work is complete. If a setting, component or procedure changes, update the vehicle record and state whether another inspection is required.
Keep the maintenance and issue history with the vehicle file, including relevant email decisions. The next person reviewing a fault should be able to see what changed and why.
